IT procurement: buying the right hardware and licences

Buying IT for a small office is easy to get wrong in both directions: consumer laptops that struggle after a year, or expensive gear nobody needed. We specify what each role actually needs, source it vendor neutral, check warranty and lead times, and quote it in writing before anything is ordered.

IT procurement for small and medium businesses

Most small offices buy IT in a rush. A laptop dies on Monday, someone grabs whatever is on the shelf at a retail store, and a year later the office has six different models, four versions of Windows Home that cannot join the company setup and no record of when any warranty ends. Each purchase looked sensible on its own. Together they make support slower, replacements harder to plan and security harder to manage.

We take a calmer approach. We agree a short list of standard models for each type of user, such as a light laptop for people on the move, a more powerful machine for design or finance work and a basic desktop for shared counters. Each comes with business-grade warranty, the right edition of Windows or macOS and enough memory and storage to last its expected life. When something is needed, you choose from the list and we quote it straight away.

Being vendor neutral means we recommend what suits the job, not what earns the biggest margin or what a distributor is pushing this month. We tell you how long a model is likely to take to arrive, whether a similar one is in stock locally, and what the warranty covers onsite. Licences get the same care: we check what you already own before buying more, so you are not paying twice for the same Microsoft or Adobe subscription.

What's included

Standard device list

A short list of agreed laptop, desktop and screen models for each type of role, reviewed as models change so purchasing decisions take minutes.

Written quotes

Every purchase quoted in writing first with model, specification, warranty terms and expected arrival date, so there are no surprises on the invoice.

Warranty checks

Business-grade warranty preferred, with the length and onsite or return-to-base terms recorded against each device in your asset list.

Lead time advice

Honest guidance on how long a model will take to arrive, with an in-stock alternative offered when a new starter cannot wait.

Licence review

Microsoft 365, Adobe and line-of-business licences checked against who actually uses them, so unused seats are removed before new ones are bought.

Network and meeting room gear

Switches, access points, firewalls, docks and meeting room cameras specified to work with what you already have.

Asset register

Every device recorded with serial number, purchase date, warranty end and who has it, so replacements can be planned a year ahead.

Setup before delivery

New devices enrolled, updated and loaded with your apps before they reach the user, so they are ready to work when unboxed.

Who is IT procurement for?

Procurement help makes sense if:

  • Your office has a different laptop model on almost every desk
  • Devices have been bought from retail stores with home editions of Windows
  • You are not sure which software licences you pay for or who uses them
  • New starters wait days for a laptop that is ready to use
  • Nobody knows when warranties end until a device fails
  • You want a second opinion before a large hardware purchase

IT procurement questions

Do we have to buy hardware through you?

No. You can buy wherever you like, and we will still set the devices up. Buying through us means the device matches your standard list, is checked before delivery and is recorded in your asset register, but the choice is yours.

What does vendor neutral mean in practice?

We recommend the brand and model that best suits the job and your budget, and we explain why. We are not tied to one manufacturer, so if a different brand is better value for a particular role, we say so.

Why not just buy laptops from a retail store?

Retail laptops often come with home editions of Windows that cannot be managed properly, consumer warranties and preloaded software. Business models usually last longer, carry better warranty terms and are easier to secure and support.

How long does it take to get a new laptop?

It depends on the model and supplier stock. Common business laptops are often available quickly, while specific configurations can take a few weeks. We tell you the expected date when we quote and suggest an in-stock option if timing matters.

Can you help us cut our licence costs?

Often, yes. We compare the licences you pay for against who actually signs in and uses each product, then remove or downgrade seats that are not needed.

Do you handle warranty claims?

Yes. When a device under warranty fails, we log the claim with the manufacturer, arrange the repair or replacement and keep you working with a spare where we can.

How do we get a quote?

Tell us what you need and for whom. We send back a written quote with specifications, warranty and lead time, and nothing is ordered until you approve it.
