Business password managers

Most offices have a spreadsheet, a notebook or a browser full of saved logins that nobody controls. A business password manager gives every person strong, unique passwords without having to remember them, lets teams share logins safely and lets you take access back when someone leaves.

Business password managers for small and medium businesses

Ask around any office and you will find the same handful of passwords reused across the bank, the supplier portal, the courier account and the website. Shared logins live in a document called passwords on the shared drive, in sticky notes under keyboards or in one person's head. When that person resigns, the business discovers it can't get into its own domain registrar. And when one website suffers a breach, every account using the same password is open to whoever bought the list.

A password manager fixes the habit rather than the symptom. Each person gets a vault that creates and fills long, random passwords, so they only remember one strong passphrase protected by multi-factor sign-in. Shared vaults hold logins a team needs in common, such as the social media accounts or a supplier portal, with access granted by role. Staff can see that a login exists and use it without ever being shown the password, where that suits.

We choose a business-grade product that suits your size, connect it to your Microsoft 365 or Google sign-in where possible, and move shared passwords out of spreadsheets and browsers into proper vaults. Staff get a short session and a one-page guide. When someone leaves, their access to every shared vault ends with one action, and we work through the logins they used so the important ones can be changed. Passkeys, a newer and stronger way to sign in, can be stored and shared in the same place.

What's included

Product selection

A business password manager chosen for your size, devices and sign-in system, with licence costs set out before you commit.

Single sign-on link

Where supported, the vault opens with your Microsoft 365 or Google sign-in, so staff have one less thing to remember.

Shared team vaults

Vaults for logins a team needs in common, with access granted by role rather than by passing passwords around.

Spreadsheet clean-up

Passwords moved out of documents, notebooks and browser storage into the vault, then the old copies deleted.

Breach and reuse reports

Reports showing weak, reused and exposed passwords across the business, so the riskiest ones are changed first.

Passkey support

Passkeys created and stored for sites that offer them, giving a sign-in method that can't be phished in the usual way.

Staff rollout and training

A short session, browser extension installed on each computer and phone app set up, so people use it from day one.

Leaver process

Vault access removed when someone leaves, and the shared logins they used listed so the sensitive ones can be rotated.

Who is password management for?

A password manager is overdue if:

  • Shared logins live in a spreadsheet or a document on the shared drive
  • Staff reuse the same password for several work accounts
  • Only one person knows the logins for your domain or website
  • Passwords are saved in browsers on shared or personal computers
  • Your cyber insurer asks how business passwords are stored

Business password managers questions

Isn't putting all our passwords in one place risky?

Business password managers encrypt the vault so that the provider can't read it, and access needs the user's master passphrase plus multi-factor sign-in. That is far safer than reused passwords and spreadsheets, which is what most offices have now.

What about the passwords saved in our browsers?

Browser storage is convenient but hard to control, share or remove when someone leaves. We import those logins into the business vault and turn off browser saving on company devices.

What happens if someone forgets their master passphrase?

Business products include an account recovery process controlled by administrators, so a forgotten passphrase does not mean losing access to company logins. We set this up during rollout.

Can staff store personal passwords too?

Most business products give each person a private area, and some offer a free family account for personal use. Personal logins stay private and the person keeps them when they leave.

What are passkeys?

Passkeys replace a password with a cryptographic key stored on your device or in your password manager. They can't be reused on another site or typed into a fake sign-in page, which removes the most common way accounts get stolen.

How long does rollout take?

Setup takes a day or two for a small office. Moving shared passwords out of old documents and getting everyone comfortable usually takes a couple of weeks of light effort alongside normal work.

What does it cost?

The password manager is a separate per-user subscription that we quote before you commit. Rollout is quoted in writing first, and ongoing admin is covered by your plan or billed at $109 an hour remote plus GST.
