Hosted VoIP phone systems that suit how your office answers calls

A hosted VoIP system gives you proper desk phones, a reception console, call recording and mobile apps, without a phone box on the wall. We pick a system that fits your office, set it up on your network and move your numbers across with a planned cutover.

Hosted VoIP phone systems for small and medium businesses

Plenty of offices still run on a phone system bought ten or more years ago, connected to copper lines that are being withdrawn across New Zealand. When the copper goes, the old system goes with it, often at short notice and at the worst time of year. A hosted VoIP system moves the brains of the phone system into a data centre, so your handsets only need a network cable and an internet connection to work, in the office or anywhere else.

Not every business wants calls inside Microsoft Teams. Medical receptions, trade counters and busy front desks often prefer a physical phone with lots of buttons, a clear display of who is on which line and a headset that never needs a laptop. Hosted VoIP suits that style of work well. It also handles things Teams makes harder, such as busy-lamp fields for a receptionist, paging speakers and simple hot-desking for staff who share desks.

We start by listening to how calls are actually answered in your office today, then design the system around that rather than around a template. Handsets are configured before they arrive, network ports are checked and a separate voice network is set up where it helps call quality. Numbers move on an agreed date with the old lines left in place until every number rings correctly. Afterwards, menu changes, new extensions and handset faults are handled under your plan.

What's included

Call flow design

We map how your calls should be answered, by whom and in what order, including lunch cover, after-hours messages and what happens to calls that nobody picks up.

Desk phones and consoles

Handsets, cordless phones and reception consoles chosen to suit each role, with line keys showing colleagues' status at a glance.

Network preparation

Switch ports, power over ethernet and voice traffic priority set up so calls stay clear when someone is uploading large files.

Call recording

Recording switched on for the extensions or queues that need it, with storage, retention and who can listen back agreed and documented.

Mobile and softphone apps

The business line on staff mobiles and laptops, so people can take calls from home or on the road with the office number showing.

Copper line replacement

Alarm diallers, lift phones, EFTPOS lines and fax machines that still rely on copper identified early, so nothing is forgotten when the lines are withdrawn.

Cutover and porting

Numbers ported on a planned day, every extension and menu tested from an outside line, and the old system left connected until the move is signed off.

Ongoing changes

New extensions, moved desks, greeting updates and handset faults handled as normal support requests rather than separate jobs.

Who is hosted VoIP phone systems for?

A hosted VoIP system is often the right fit when:

  • Your phone system is old and still runs on copper lines
  • Reception needs to see who is on the phone before transferring
  • You need call recording for training, disputes or compliance
  • Staff move between the office, home and client sites
  • You have more than one office that should share one phone system
  • You want phones that work even when nobody has a laptop open

Hosted VoIP phone systems questions

What is the copper switch-off and does it affect us?

Copper phone lines are being withdrawn across New Zealand and replaced with fibre and wireless services. If your phones, fax, alarm or EFTPOS terminal still use a copper line, they will need to move. We check every line you have and plan replacements before the withdrawal date for your area.

Can we keep our current handsets?

Sometimes. Many modern IP handsets can be reprogrammed for a new hosted system, but older digital phones built for a specific phone box cannot. We check model numbers during the review and tell you which can stay.

How is VoIP different from Teams Calling?

Both send calls over the internet. Teams Calling puts the phone inside Microsoft Teams, while hosted VoIP is a dedicated phone system with its own handsets and apps. Teams suits offices that live in Teams; hosted VoIP often suits busy receptions and front counters better.

Is call recording legal in New Zealand?

Businesses commonly record calls, but there are privacy obligations around telling callers, storing recordings securely and keeping them only as long as needed. We set up the greeting and retention to match your policy, and suggest you confirm the policy itself with your own adviser.

What internet connection do we need?

Most fibre connections handle an office phone system comfortably. Problems usually come from the office network rather than the line, so we check the router, switches and Wi-Fi as part of the setup.

Do you sell the phone lines too?

We arrange the system, handsets and numbers through a carrier and give you the monthly costs in writing before anything is signed. The setup work is quoted in writing first.

What if a handset stops working?

Log it as a normal support request. Many faults are fixed remotely by reprovisioning the handset; if it has failed, we arrange a replacement and set it up before it goes back on the desk.
