IT for accountants & bookkeepers

An accounting practice runs on trust and timing. Clients hand over bank statements, payroll records, IRD numbers and the details of their businesses, and they expect that information to stay private. At the same time, your workload rises sharply around GST periods, provisional tax dates and the end of the March financial year, which is exactly when a slow laptop or a locked account costs the most billable time. Good IT for a practice is mostly about getting those two things right together.

Many small practices grew their IT one piece at a time: a shared folder here, a scanner there, a staff member's personal email used for client files when things got busy. It mostly works, but nobody is checking whether the old server backup still runs, who still has access after a staff member leaves, or whether that urgent email from a client asking to change their bank details is genuine.

Office IT looks after the whole picture for practices with three to seventy-five staff. We tidy up client file storage, secure Microsoft 365, check the backups every day and make sure your accounting and practice software has the devices, connections and permissions it needs. When the team is working late in March, a technician who knows your setup is a request away. Outside the busy months, we use the quieter weeks for reviews, replacements and the projects that never fit around a filing deadline.

Common IT problems in this industry

Sensitive client data everywhere

Tax returns, payslips and IRD numbers end up in inboxes, downloads folders and USB sticks. Under the Privacy Act 2020 a serious breach must be reported, so loose copies are a real risk.

Deadline pressure

A failed update or broken printer in the week before a filing date hurts far more than it would in a quiet month. Problems need fixing quickly, not next week.

Invoice and bank detail scams

Fake emails asking you or your clients to pay a new account number are a common fraud. Accountants are a prime target because they handle payments and payroll.

AML/CFT obligations

Accountants are reporting entities under the AML/CFT Act, so identity documents and due diligence records must be kept securely and retrievable when asked for.

Staff working from home

Bookkeepers and seasonal staff often work remotely. Without the right setup, client data sits on personal computers you have no control over.

Old file servers and folders

Years of client folders on an ageing server or NAS, with patchy permissions and no tested backup, is a common and fragile setup in small practices.

What we set up for you

Secure client file storage

We move client files into SharePoint or your document system with clear folder permissions, so staff see what they need and leavers lose access straight away.

Multi-factor sign-in everywhere

Microsoft 365, Xero, MYOB and your practice software are protected with multi-factor sign-in, which stops most stolen-password attacks.

Email filtering and payment checks

Phishing and spoofed emails are filtered before they arrive, and we help you set a simple rule for verifying any change to bank details by a second channel.

Managed laptops for remote work

Company laptops are encrypted, updated and managed, so a lost device can be locked and wiped and client data never needs to live on a home PC.

Daily checked backups

Microsoft 365 mail, OneDrive and SharePoint are backed up, along with any server, and we test restores so a deleted client folder can actually be recovered.

Busy-season readiness

Before March and other peak periods we check devices, updates, licences and printers so the predictable problems are dealt with before the rush.

Systems we support

We work with the software and equipment your business already relies on, and with your software vendors when something needs their help.

  • Xero and MYOB accounting and payroll
  • Xero Practice Manager and Xero Tax
  • Cloud practice management and job tracking software
  • Document management and secure client portals
  • Electronic signature tools for engagement letters and returns
  • IRD myIR access for tax agents
  • Microsoft 365, Outlook and Excel

IT for accountants & bookkeepers: questions

Can you support our practice management and tax software?

Yes. We look after the computers, accounts, network and security that your practice software relies on, and we deal with the software vendor's support team on your behalf when an issue is on their side. Most accounting software is now cloud based, so the main work is secure sign-in and reliable devices.

How do we keep client files private when staff work from home?

We give remote staff managed company laptops, protect sign-ins with multi-factor authentication and keep files in Microsoft 365 rather than on personal devices. Access can be limited by device and location, and a lost laptop can be wiped remotely.

What should we do about emails asking to change bank details?

Treat every such request as suspicious until it is confirmed by a phone call to a number you already hold, not one in the email. We add email filtering that flags spoofed senders and lookalike domains, and we can train staff to spot the signs.

Do you help with AML/CFT record keeping?

We don't give compliance advice, but we make sure the place you store identity documents and due diligence records is secure, access controlled, backed up and searchable. Your AML/CFT compliance officer decides what is kept and for how long.

Can you help during tax season if things go wrong?

Yes. Our help desk runs in business hours and most issues are fixed remotely. Before your peak periods we do a health check so common failures, such as full disks or overdue updates, are cleared away in advance.

Which plan suits a small practice?

Most practices choose the Managed plan at $119 per user per month plus GST, which includes unlimited remote support, email security and Microsoft 365 backup. Practices that want onsite support and staff security training included use the Complete plan at $169.
