IT support for property management companies

Property managers spend their days in cars, inspections and viewings, carrying tenant and owner information with them. We make that mobile work secure and the office behind it reliable.

IT for property management

Property management mixes office work with constant travel. Inspections, viewings, maintenance visits and tenancy meetings take staff across the city, and they need their phones and tablets to open files, take photos, record condition reports and reply to tenants on the spot. At the same time the office handles rent, bonds, owner statements and invoices from tradespeople. Much of that work happens through cloud property management software, online bond lodgement and email, so a reliable connection and secure sign-in matter wherever staff happen to be.

The information involved is personal and often sensitive: tenancy applications with ID, credit checks and references; bank details for owners; and notes about disputes. Under the Privacy Act 2020 you are responsible for keeping that information safe and only collecting what you need, and a leaked folder of tenancy applications is the kind of breach that must be reported. Owners also trust you with their bank details and access to their properties, and they expect the information to be handled with the same care as their keys.

Office IT supports property management companies and real estate offices with three to seventy-five staff. We secure the phones and laptops staff carry, set up safe document storage and sharing with owners and tenants, protect the email that rent and maintenance payments depend on, and keep the office network and printers running. We also make sure each portfolio's records stay with the business when staff change, which is common in a busy property management team and often where information gets lost.

Common IT problems in this industry

Staff always on the move

Phones and tablets are the main work device for many property managers, and they are easy to lose or leave unlocked in a car.

Tenant application data

Applications include ID documents, income details and references. Keeping more than needed, or keeping it too long, increases privacy risk.

Payment and invoice scams

Rent, bond and maintenance payments make property firms a target for fake invoices and emails changing an owner's or contractor's bank account.

Sharing documents with owners and tenants

Inspection reports, leases and statements are sent to many outside parties, often as attachments that are hard to control afterwards.

Photos and inspection records

Thousands of inspection photos are needed as evidence in disputes, but they often sit on personal phones rather than in company storage.

Staff changes and shared portfolios

When a property manager leaves, their portfolio, emails and files must pass to someone else without gaps.

What we set up for you

Managed mobile devices

Phones and tablets enrolled in device management, with passcodes enforced, work apps installed and remote wipe ready if a device is lost.

Safe storage for applications

A secure, access-controlled place for tenancy applications and ID, with clear folders so information can be deleted when it is no longer needed.

Secure sharing

Expiring links and owner or tenant access controls for leases, reports and statements, instead of open email attachments.

Email protection

Multi-factor sign-in, filtering for lookalike domains and alerts on risky sign-ins, plus a simple rule for checking any change of bank details.

Inspection photos in company storage

Photos taken in inspection apps or on work phones saved to company storage automatically, not left on personal devices.

Smooth handovers

Shared mailboxes for portfolios and a documented leaver process, so a departing manager's work moves cleanly to their replacement.

We work with the software and equipment your business already relies on, and with your software vendors when something needs their help.

IT for property management: questions

How do you secure phones that property managers use all day?

We enrol them in device management so a passcode is required, work apps and data are kept separate, and a lost phone can be locked or wiped remotely. Sign-ins are protected with multi-factor authentication so a stolen password isn't enough.

Where should tenancy applications be stored?

In a secure, access-controlled location rather than inboxes and downloads folders. We set up storage with limited access and a clear structure, so information from unsuccessful applicants can be deleted once it is no longer needed under your privacy policy.

How do we avoid fake invoices from contractors?

We filter lookalike domains and spoofed senders and alert on suspicious mailbox activity. The most effective safeguard is a firm rule that any change to bank details is confirmed by calling a number you already hold.

Can owners and tenants access documents securely?

Yes. Your property management software usually provides owner and tenant portals, and for anything else we set up expiring share links with access limited to the right person.

What happens when a property manager leaves?

Their sign-in is closed on their last day, their portfolio mailbox and files pass to the new manager, and their devices are wiped and reissued. Shared mailboxes per portfolio make this much simpler.

Which plan suits a property management office?

Most offices choose the Managed plan at $119 per user per month plus GST, which includes unlimited remote support, email security and Microsoft 365 backup. Device management for phones and tablets is included for covered users.
