IT support for specialist and private clinics

Specialist rooms handle referrals, insurer approvals and detailed clinical letters for patients who are often anxious and expect discretion. We keep that work secure, organised and running smoothly.

IT for specialist & private clinics

Private specialist practices are often small teams carrying a lot of responsibility. A surgeon or physician may consult across several sites, operate at a private hospital and dictate letters late in the evening, while a practice manager and secretaries handle bookings, referrals, insurer approvals and billing. The information flowing through those hands is among the most sensitive in health: diagnoses, test results, surgical plans and correspondence with GPs and insurers.

That combination of mobility and sensitivity creates gaps. Letters get emailed as attachments from personal accounts, dictation files sit on phones, and staff working from home print referrals on household printers. Under the Health Information Privacy Code 2020, the clinic is responsible for keeping that information secure wherever it travels. Insurers and private hospitals increasingly expect clinics to show sensible security too, especially around email, where fake invoices and impersonated referrers are a growing problem.

Office IT supports specialist and private clinics with three to seventy-five staff. We set up secure sign-in and email, give specialists managed laptops and phones that work across consulting sites, organise clinical documents and dictation workflows, and keep reception, billing and booking systems dependable. Day-to-day help is remote anywhere in New Zealand, with onsite support in Auckland and Hamilton. We plan changes around clinic sessions and keep a written record of how the practice's systems fit together.

Common IT problems in this industry

Specialists on the move

Consultants work across rooms, private hospitals and home. They need records and dictation everywhere without carrying unprotected data.

Sensitive correspondence

Clinical letters, results and surgical plans move between specialists, GPs and insurers, and email attachments are easy to misdirect.

Insurer approvals and billing

Prior approvals, claims and invoices to health insurers are a large share of admin, and delays there hold up both treatment and payment.

Small team, single points of failure

With one practice manager and one or two secretaries, a broken PC or locked account can stop most of the clinic's admin work.

Impersonation and invoice fraud

Fake supplier invoices and emails pretending to be a referrer or patient target small clinics that pay accounts by bank transfer.

Shared rooms and consulting suites

Clinics renting sessional rooms often share networks and printers with other practices, which blurs who controls what.

What we set up for you

Managed laptops and phones

Specialists get encrypted, managed devices with multi-factor sign-in, so records and dictation stay protected at every site and can be wiped if lost.

Secure clinical email

Email filtering, sender verification and encryption options for sensitive messages, plus guidance on when secure health messaging should be used instead.

Organised document storage

Letters, results and dictation are stored in a structured Microsoft 365 or practice system location, with permissions matched to each role.

Dictation workflow

Recording on a phone or dictaphone, transfer to the secretary and filing of the finished letter are set up so files never sit loose on personal devices.

Your own network in shared rooms

Where you share a building, we give the practice its own secure network or encrypted connection, so other tenants cannot see your devices.

Payment verification

We help you set a simple process for confirming any change of bank details by phone, backed by filtering that flags lookalike domains.

Systems we support

We work with the software and equipment your business already relies on, and with your software vendors when something needs their help.

  • Specialist practice management and billing software
  • Secure health messaging for referrals and letters
  • Dictation and transcription tools
  • Health insurer approval and claiming portals
  • Private hospital and radiology result portals
  • Online booking and appointment reminders
  • Microsoft 365, Outlook and Teams

IT for specialist & private clinics: questions

How can our specialists access records at other sites safely?

We give them managed laptops and phones with encryption and multi-factor sign-in, and set up secure access to the practice system and documents. If a device is lost, we lock and wipe it remotely, and nothing sensitive needs to be stored on personal equipment.

Is it safe to email clinical letters?

Ordinary email can be intercepted or misdirected. We add filtering, sender checks and encryption options, and help you decide when letters should go through secure health messaging instead. Simple habits, such as checking the recipient before sending, matter as much as the technology.

Can you improve our dictation workflow?

Yes. We look at how recordings are made, moved and stored, then set up a process where files go straight to a secure location the secretaries can reach, rather than living on phones or in email attachments.

We share rooms with other practices. Is our data exposed?

It can be if everyone shares one network. We can give your practice its own network segment or a secure encrypted connection, so your PCs, printers and files are separated from other tenants.

What does the Health Information Privacy Code require from our IT?

It requires reasonable security safeguards for health information. In practice that means individual sign-ins, encryption, access controls, current updates, secure email and checked backups. We set those up and document them, while your privacy officer handles policies and patient requests.

Which plan fits a small specialist practice?

A practice with a handful of staff usually suits the Managed plan at $119 per user per month plus GST. If you want onsite visits and security training included, the Complete plan is $169 per user per month plus GST.
