IT support for veterinary clinics

A vet clinic is a hospital, a pharmacy and a shop under one roof, often with emergency cases arriving at short notice. We keep the systems that hold it together reliable and protected.

IT for veterinary clinics

Veterinary practices carry a lot of technology for their size. There is the practice management system that holds every animal's history, appointments, invoices and reminders. There are digital X-ray and ultrasound systems, in-house lab analysers that send results straight to the patient record, and a dispensary with label printers and stock control. Reception takes payments and sells food and supplies. Every one of those pieces depends on PCs and a network that has usually grown without much of a plan.

The records themselves are about animals, but they are full of personal information about owners: names, addresses, phone numbers, payment details and account balances. That information is covered by the Privacy Act 2020, and a ransomware attack that locks the practice system can stop consultations, surgery scheduling and billing in one go. Clinics that offer after-hours or emergency care also need their systems to be available when the building is otherwise quiet.

Office IT supports veterinary clinics with three to seventy-five staff. We keep consulting room and surgery PCs dependable, isolate imaging and lab equipment on their own network, set up reception and payments properly and make sure backups include the practice database and the image archive. We work with your equipment and software suppliers, plan changes around surgery lists, and document how your clinic fits together so that the next equipment upgrade is straightforward rather than a scramble.

Common IT problems in this industry

Imaging and lab equipment

Digital X-ray, ultrasound and lab analysers often run on supplier-built PCs that need careful handling during updates and network changes.

Owner personal information

Client names, addresses and payment details sit alongside clinical notes and are covered by the Privacy Act 2020.

Busy, shared workstations

Vets, nurses and reception staff move between PCs all day. Shared logins make it hard to see who changed a record or an invoice.

After-hours availability

Clinics that see emergency cases need the practice system and phones working outside normal hours, when there may be one vet on duty.

Reception, retail and payments

Card terminals, point-of-sale and stock control for food and medicines all run at a busy counter that cannot afford to stall.

Large image files

X-ray and ultrasound images take up space and must be kept with the animal's record, which puts pressure on storage and backups.

What we set up for you

Segmented clinic network

Imaging, lab equipment, clinical PCs, payments and client Wi-Fi each have their own network segment, so a problem in one area cannot spread to the others.

Personal sign-ins with quick switching

Each staff member has their own account, with fast switching on shared PCs so audit trails are accurate without slowing anyone down.

Equipment-aware updates

Updates on imaging and lab PCs are coordinated with the supplier and scheduled away from surgery and consult times.

Backups for records and images

The practice database, image archive and Microsoft 365 are backed up and checked, with an off-site copy and regular test restores.

Resilient internet

A backup mobile connection keeps cloud practice software, card payments and email working if the main line drops.

Remote access for duty vets

Vets on call can reach the records they need securely from a managed laptop, protected by multi-factor sign-in.

IT for veterinary clinics: questions

Can you support our X-ray and lab equipment?

We look after the PCs and network that connect your imaging and lab equipment, and we coordinate with the equipment supplier on anything specific to their devices. Where a supplier PC cannot be updated, we isolate it so it is protected without breaking its software.

Does privacy law apply to animal records?

Animal health details are not covered by the Health Information Privacy Code, but the owner information in your records is personal information under the Privacy Act 2020. We protect the practice system with access controls, encryption, filtering and checked backups.

What if our practice system goes down during a busy day?

Our help desk takes the call during business hours and most issues are fixed remotely. If a server or PC has failed, a technician can attend in Auckland or Hamilton, and we can keep a configured spare ready for critical stations.

Can our on-call vet access records from home?

Yes. We set up a managed laptop with multi-factor sign-in and secure access to the practice system, so an after-hours vet can check a history without patient data ending up on a personal computer.

How do you keep payments secure at reception?

Card terminals and point-of-sale sit on their own network segment, separated from client Wi-Fi and clinical PCs. That keeps card data contained and makes security questions from your payment provider easier to answer.

Do you do electrical work in a new surgery fit-out?

No. We handle low-voltage work only: data cabling, network cabinets, Wi-Fi and device setup. Power circuits and outlets are done by a registered electrician, and we can work alongside yours.
