IT for car dealerships

Car dealerships combine a showroom, a sales team on the move, a finance and insurance office, often a workshop and a yard full of stock. Each part has its own systems: a dealer management system, finance and insurance portals, vehicle listing sites, history check services, CCTV and showroom screens. Salespeople work from phones and tablets on the lot as much as at their desks, and every one of them handles driver licences, finance applications and trade-in details.

That makes dealerships an attractive target. Finance paperwork, licence photos and bank details are valuable to fraudsters, and payment scams aimed at vehicle deposits are common. Meanwhile the yard needs Wi-Fi and cameras that reach the far corner, the showroom wants screens that update themselves, and the business can lose a sale if a salesperson cannot pull up a vehicle record while a customer is standing in front of them. Every one of those systems needs to be fast, secure and available from the desk and the lot alike.

Office IT supports independent and franchised dealerships with three to seventy-five staff. We secure sales and finance accounts, store customer documents safely, extend Wi-Fi and cameras across the yard, keep showroom and office devices managed, and help with the systems that link the sales floor to the workshop. Dealerships in Auckland and Hamilton get onsite support, and those elsewhere in New Zealand are supported remotely. Yard and showroom projects are quoted in writing first.

Common IT problems in this industry

Identity documents everywhere

Licence photos, finance applications and proof of address end up in phone galleries, email attachments and printer scan folders unless there is a clear process.

Deposit and payment scams

Criminals impersonate dealers or customers to redirect deposits and settlement payments. A compromised sales mailbox makes those scams very convincing.

Yard coverage

Wi-Fi and cameras that work in the showroom often fade across a large yard, leaving salespeople without data and stock without surveillance.

Sales staff on the move

Salespeople use phones and tablets to photograph stock, list vehicles and sign customers up. Personal devices make data control difficult.

Many separate portals

Finance companies, insurers, history checks and listing sites each have their own logins, often shared between staff.

Workshop and sales links

Pre-delivery checks, servicing and parts depend on the workshop and sales systems working together on one network.

What we set up for you

Secure document handling

We set up a single protected place for customer documents and stop scans and photos lingering on devices and in shared inboxes.

Protected sales email

Multi-factor sign-in, filtering for spoofed messages and a firm process for confirming any change to bank details before money moves.

Yard-wide Wi-Fi and cameras

Outdoor access points and cameras placed to cover the yard, cabled where possible and isolated from office systems.

Managed phones and tablets

Sales devices are enrolled in management so business apps and photos stay in a protected space and can be wiped if lost.

Individual portal logins

Each staff member uses their own login for finance and listing portals, with a password manager so nobody shares credentials.

Showroom displays

Screens for vehicle specials and promotions run from managed players that update centrally and stay off the main network.

Systems we support

We work with the software and equipment your business already relies on, and with your software vendors when something needs their help.

  • Trade Me Motors and other vehicle listing sites
  • Finance and insurance application portals

IT for car dealerships: questions

How should we store customer licence and finance documents?

In one access-controlled location, not in phone galleries, inboxes or scan folders. We set up the storage, limit access to the staff who need it and help you clear old copies from devices and email.

Can you extend Wi-Fi across our yard?

Yes. We survey the yard, plan outdoor access points and cabling and quote the work in writing first. Cabling is low-voltage data only; any new power is installed by a registered electrician.

How do we prevent deposit payment scams?

Protect every mailbox with multi-factor sign-in, filter spoofed and lookalike domains, and never change payment details based on email alone. We help set up the technical controls and brief staff on the warning signs.

Do you support our dealer management system?

We support the devices, accounts and network it runs on, and liaise with the vendor when the fault sits in their software. Many dealer systems are cloud based, so connection quality and secure sign-in matter most.

Can salespeople use their own phones?

They can, with app protection that keeps business data separate from personal data and lets us remove it when they leave. Many dealerships prefer company-owned devices for the sales team, which we can also manage.

Which plan suits a dealership?

Most dealerships choose the Managed plan at $119 per user per month plus GST. Larger sites that want regular onsite visits and staff security training usually choose Complete at $169.
