IT support for churches and faith organisations

A church office is usually a small paid team surrounded by a large group of volunteers. We help keep pastoral records private, giving secure and Sunday's technology working, without asking volunteers to become IT experts.

IT for churches & faith organisations

Churches and faith communities handle more personal information than most people realise. Pastoral notes, prayer requests, children's ministry registers, giving records and contact lists for small groups all hold details people shared in trust. Much of this work is done by volunteers on shared computers or their own devices, often with one shared login that has been passed around for years. It is generous and practical, and it makes privacy very hard to protect.

The building itself is busy too. A Sunday service may depend on projection, sound desk computers, a livestream and guest Wi-Fi, all of which must work at the same moment each week. During the week the same space hosts playgroups, youth nights, community meals and hireage, and every group wants to connect. Without planning, the office computer and the giving records end up on the same network as everyone's phones.

Office IT supports churches, parishes, mosques, temples and faith-based charities with practical IT. We set up individual accounts for staff and key volunteers, apply eligible not-for-profit licensing, keep pastoral and giving records private, and separate guest and livestream networks from the office. Onsite help is available in Auckland and Hamilton, and congregations elsewhere in New Zealand are supported remotely. We explain everything in plain language for staff and volunteers alike, and we keep costs modest so more of what is given goes to ministry rather than to computers.

Common IT problems in this industry

Shared logins and volunteers

One password shared by several volunteers means nobody knows who changed or deleted what, and access never ends when someone steps down from a role.

Pastoral and children's records

Notes on pastoral care and children's ministry registers are sensitive. They need to be visible only to the leaders who are responsible for that care.

Giving and donor information

Records of donations and donation receipts involve personal and financial details. Spreadsheets emailed between volunteers are a common weak point.

Sunday technology

Projection, sound and livestreaming must work on time every week. A computer that chooses Sunday morning to install updates causes real disruption.

Many users of one building

Hirers, community groups and visitors all want Wi-Fi. If they share the office network, they can reach the computers that hold private records.

Tight budgets

Money given for ministry needs to stretch. Paying full price for software that is available through not-for-profit programmes wastes funds.

What we set up for you

Personal accounts for each role

Staff and key volunteers get their own accounts with multi-factor sign-in, and role mailboxes such as the office or youth address are shared properly rather than by password.

Not-for-profit licensing

Where your organisation is eligible, we help apply for and set up the donated or discounted licences that software vendors offer to registered charities.

Private pastoral and giving files

Pastoral notes, registers and giving records are stored in folders limited to named leaders, with backups and a record of who has access.

Reliable service technology

Presentation and streaming computers are set to update midweek, checked before major services and connected to a network reserved for them.

Separate guest and hirer Wi-Fi

Guest and hirer Wi-Fi is isolated from the office, with a simple password you can change when a hire ends.

Easy handover between volunteers

When a volunteer steps down, their access is removed and their files moved to the role, so the next person starts with everything they need.

Systems we support

We work with the software and equipment your business already relies on, and with your software vendors when something needs their help.

  • Microsoft 365 or Google Workspace under not-for-profit programmes
  • Church management and membership databases
  • Giving, donation receipting and Xero
  • Presentation software for worship lyrics and slides
  • Livestreaming to YouTube and Facebook
  • Rostering and volunteer scheduling apps

IT for churches & faith organisations: questions

Can volunteers have accounts without a full licence cost?

Often, yes. Eligible charities can access donated or discounted licences from several software vendors, and not every volunteer needs a full licence. We look at each role and recommend the lowest cost setup that still keeps information secure.

How do we stop shared passwords?

We give each person or role their own account and use shared mailboxes and team sites for common work. That way everyone signs in as themselves, access can be removed when a role ends, and nobody needs to pass a password around.

Can you help with our livestream?

We look after the computers, network and internet connection that the stream depends on, and make sure updates and other traffic do not disrupt it during services. Camera operation and production remain with your media team.

How do we keep children's ministry records private?

Registers and consent forms are stored in folders limited to the leaders responsible, backed up and protected by multi-factor sign-in. We avoid copies sitting in personal email or on volunteers' own devices.

Do you support churches outside Auckland and Hamilton?

Yes, remotely. Projects such as Wi-Fi or audio-visual network upgrades outside those cities can be done onsite by arrangement and are quoted in writing first.

What does support cost for a church office?

Paid staff are usually covered on the Essentials plan at $69 or the Managed plan at $119 per user per month plus GST. Occasional volunteer help can be handled on pay as you go at $109 per hour remote.
