IT support for mortgage advisers
A single home loan application can hold a client's payslips, bank statements, ID and credit history. We help mortgage advisers keep that paperwork secure while still moving fast enough to win a pre-approval.

IT for mortgage advisers
Mortgage advice is a race against the clock with very sensitive paperwork. Clients send through passports, driver licences, months of bank statements, IRD summaries and employment contracts, often by email or phone photo, and the adviser has to assemble them into a clean application for one or more lenders. That collection of documents is exactly what an identity thief wants, and it often sits in an inbox long after the loan has settled.
As financial advice providers, advisers also carry record keeping duties. You need to show what was recommended, why a lender was chosen and what the client was told about commissions and conflicts. Many small advice businesses run on a mix of a CRM, a shared mailbox, a phone and a laptop that goes home every night, which works until a device is lost or a staff member leaves with the client list on their personal phone.
Office IT supports mortgage advice firms and aggregator member offices with three to seventy-five staff. We put sensible controls around client documents, secure every sign-in with multi-factor authentication, manage the laptops and phones advisers use on the road and keep a daily, tested backup of your mail and files. Technicians visit Auckland and Hamilton offices, and we support advisers elsewhere in New Zealand remotely, so a sole adviser in Tauranga gets the same setup as a team in Newmarket.
Common IT problems in this industry
Identity documents in inboxes
Passports, licences and bank statements arrive as email attachments and phone photos. Years of them sitting in mailboxes is a serious exposure if one account is compromised.
Record keeping obligations
Advisers must keep records of the advice given and the reasons for it. If those records live on a personal laptop, they are hard to produce and easy to lose.
Settlement and deposit fraud
Criminals target the period around settlement, sending fake instructions to clients. Advisers are part of that email chain and their mailbox can be the weak point.
Multiple lender portals
Submitting to several banks and non-bank lenders means many separate logins. Shared or reused passwords across those portals are a common and avoidable risk.
Advisers who are always mobile
Meetings happen at kitchen tables, cafes and open homes. Phones and laptops need to work anywhere and stay protected when they are left behind.
Leavers taking client data
When an adviser moves on, client contact details and documents on personal devices can leave with them unless access is managed centrally.
What we set up for you
A secure document intake
We set up an upload link or client portal so clients send documents straight into a controlled folder instead of attaching them to ordinary email.
Retention and clean-up rules
Working with your compliance lead, we apply retention settings so old identity documents are archived or removed on schedule rather than kept forever by accident.
Multi-factor sign-in everywhere
Microsoft 365, your CRM and lender portals are protected with multi-factor authentication, and logins are stored in a company password manager.
Managed phones and laptops
Devices are encrypted and enrolled in management, with company data kept separate from personal apps so it can be removed when someone leaves.
Email filtering and alerts
Spoofed senders, lookalike domains and suspicious forwarding rules are flagged, which helps catch a mailbox takeover before a client is sent false instructions.
Backups of mail and files
Every mailbox and client folder is backed up daily, so an accidental deletion or a ransomware infection does not wipe out your advice records.

Managed ITIT for mortgage advisers: questions
Is email safe for receiving client bank statements?
Ordinary email is convenient but leaves copies in many places. A secure upload link or portal is better because documents land in one controlled folder with access logging. We can set that up and help you move clients onto it gradually.
How long should we keep client documents?
That is a compliance decision for your business and your aggregator or licence holder. Once you have decided, we can apply retention rules in Microsoft 365 so documents are kept for the right period and not indefinitely.
I'm a sole adviser. Is managed IT worth it?
A sole adviser holds as much sensitive data per client as a large firm. Our plans are priced per user, so a one-person business pays for one user, and you get the same security setup, backups and help desk.
Can you help if an adviser's email is hacked?
Yes. We lock the account, remove any malicious forwarding rules, check what was accessed and help you work out who needs to be told. Then we close the gap that let it happen, usually missing multi-factor sign-in.
Do you work with advisers outside Auckland and Hamilton?
Yes. Remote support covers the whole country. New laptops can be shipped already set up, and most problems are fixed remotely. Onsite visits outside Auckland and Hamilton are for planned project work by arrangement.
Which plan do mortgage advisers usually pick?
The Managed plan at $119 per user per month plus GST suits most advice businesses because it includes email security and Microsoft 365 backup. Essentials at $69 covers antivirus, updates and account admin if your team mostly looks after itself.
