IT for law firms

A law firm's files are among the most sensitive in any office: wills, family matters, commercial deals, disputes and property settlements. The Lawyers and Conveyancers Act (Lawyers: Conduct and Client Care) Rules 2008 put a duty of confidence on every lawyer, and clients assume their information is protected by more than a password on a shared drive. Professional indemnity insurers and larger corporate clients are asking the same question in more detail each year, and a firm needs to be able to explain how its systems actually protect a file.

Firms are also an attractive target for fraud. Conveyancing and settlement payments move large sums through trust accounts on fixed dates, and criminals who get into a mailbox can watch a matter for weeks before sending a convincing change of bank details. A single successful scam can cost a client their deposit and the firm its reputation. The same risk applies to the firm's own accounts, where a fake supplier invoice or a compromised partner mailbox can be just as costly as a diverted settlement.

Office IT supports firms with three to seventy-five staff in Auckland and Hamilton. We harden email and sign-in, set up document storage with matter-level permissions, keep partners and staff productive in the office, at court and at home, and make sure every file can be recovered if something is deleted or encrypted. Your practice and trust accounting software stays with its vendor; we make sure everything around it is secure and reliable.

Common IT problems in this industry

Settlement and trust payment fraud

Mailbox takeovers lead to fake instructions to pay settlement funds or deposits into a criminal's account. Trust money makes law firms a focused target.

Confidentiality and privilege

Client documents must only be seen by the people working on the matter. Flat shared folders and forwarded attachments make that hard to control.

Document volume

Precedents, correspondence and scanned deeds pile up over decades. Finding the right version quickly, and knowing it is the final one, depends on good document management.

AML/CFT records

Lawyers are reporting entities under the AML/CFT Act. Customer due diligence documents must be stored securely and produced if your supervisor asks.

Working outside the office

Lawyers work from court, client offices and home. They need safe access to files without copying matters onto personal laptops or USB sticks.

Retention and leavers

Files must be kept for years after a matter closes, and departing staff must lose access the day they leave without losing the record of their work.

What we set up for you

Hardened email

Multi-factor sign-in, alerts on suspicious forwarding rules and impossible-travel logins, and filtering that catches lookalike domains used in payment scams.

Matter-based permissions

Document storage set up so access follows the matter and the team, with sensitive files such as employment or family matters restricted further.

Secure external sharing

Shared links that expire, encrypted email for sensitive attachments and an approved way to exchange documents with other firms and clients.

Managed devices

Encrypted laptops and phones with screen locks, remote wipe and current updates, so a laptop left in a courtroom or taxi is a nuisance rather than a breach.

Backups and retention

Microsoft 365 and document system backups checked daily, with retention settings that match how long your firm keeps closed files.

Dictation, scanning and printing

Scanners that file straight into the right place, dictation hardware that works with your transcription process, and printers secured so documents aren't left in the tray.

Systems we support

We work with the software and equipment your business already relies on, and with your software vendors when something needs their help.

  • Legal practice management and trust accounting systems
  • Document management systems with version control
  • LINZ Landonline for e-dealing and title searches
  • Microsoft Word and Outlook with firm templates
  • Adobe Acrobat for PDF bundles and redaction
  • Digital dictation and transcription tools
  • Electronic signature and secure document exchange tools

IT for law firms: questions

How do you help prevent settlement payment fraud?

We lock down mailboxes with multi-factor sign-in, monitor for suspicious mailbox rules and risky sign-ins, and filter lookalike sender domains. We also encourage a firm-wide rule that any change to payment details is confirmed by phone using a number already on file.

Can you work with our practice management and trust accounting software?

Yes. We keep the computers, network, sign-ins and backups that the software depends on in good order, and we raise issues with the vendor's support team when a problem is in their product. Trust accounting itself stays with your team and your software provider.

How do we restrict access to sensitive matters?

We set permissions by matter or practice group in SharePoint or your document system, and restrict particularly sensitive files to named people. Access reviews are part of our regular IT review so permissions don't drift.

What happens to a lawyer's files when they leave?

Their sign-in is disabled on their last day, their mailbox and files are kept and handed to the right person, and their devices are wiped and reissued. Nothing is deleted until your retention policy says it can be.

Do you help with AML/CFT?

We don't advise on your AML/CFT programme, but we make sure due diligence documents are stored securely, access controlled and backed up so you can produce them when needed.

Can lawyers work securely from court or home?

Yes. Managed laptops with encryption and multi-factor sign-in give access to the same files as in the office, without copying matters onto personal devices or USB sticks.
