IT support for sports clubs and associations

Clubs change committees every year and run on the goodwill of volunteers. We set up IT that survives each handover, keeps member details private and works on a busy Saturday at the clubrooms.

IT for sports clubs & associations

A sports club or regional association collects a surprising amount of information: member registrations, junior players' contact details and medical notes, coaching qualifications, sponsorship agreements and the club's finances. Most of it is managed by volunteers from their own homes, using whatever email account they already had. When the treasurer or registrar steps down at the annual general meeting, important files and passwords can leave with them, and the new committee starts from scratch.

The clubrooms add their own needs. A bar or canteen point of sale needs a dependable connection, scoreboards and streaming cameras want network access, and members expect Wi-Fi on game day. Regional associations, with a few paid staff, also run draws, results and referee allocations that must be published on time each week. All of it is easy to set up badly and hard to fix in the middle of the season.

Office IT supports clubs and associations with practical, low-cost IT. We set up club-owned email for each committee role, keep member data in shared storage rather than personal inboxes, plan clubroom networks and help the paid staff of larger associations with managed devices. Clubs in Auckland and Hamilton can have onsite help, and clubs elsewhere in New Zealand are supported remotely. Setups are kept simple enough that the next committee can follow them without calling us.

Common IT problems in this industry

Committee turnover

Treasurers, secretaries and registrars change regularly. If club email and files belong to their personal accounts, everything has to be rebuilt each time.

Junior member details

Registrations hold children's contact details, emergency contacts and health notes. That information should not live in a coach's personal spreadsheet.

Game day connectivity

Bar POS, eftpos, live scoring and member Wi-Fi all compete for one connection when the clubrooms are busiest.

Fake invoices and scams

Clubs are targeted by emails pretending to be the president asking the treasurer to pay a supplier or buy gift cards urgently.

Equipment spread around

Laptops, scoreboard computers and cameras are often owned by the club but kept at volunteers' homes, with no record of what exists or who has it.

Small budgets

Subscriptions and gaming trust grants have to cover a lot. Technology spending needs to be modest and clearly justified to the committee.

What we set up for you

Role-based club email

Addresses such as treasurer@ and registrar@ belong to the club, so mail and files pass to the next person in that role without loss.

Shared club files

Member lists, minutes, sponsorship agreements and finance records are kept in club-owned shared storage with access by committee role.

Clubroom network plan

We separate the bar and POS, club computers, cameras and member Wi-Fi so a crowded Saturday does not take down eftpos.

Treasurer protection

Multi-factor sign-in on email and banking, filtering for spoofed messages and a simple rule for confirming payment requests by phone.

Equipment register

A plain list of club-owned devices, where they are, who holds them and when they need replacing, handed over with each committee change.

Simple handover checklist

At each annual general meeting we help move accounts, passwords and access from outgoing to incoming committee members.

Systems we support

We work with the software and equipment your business already relies on, and with your software vendors when something needs their help.

  • National body membership and registration systems
  • Microsoft 365 or Google Workspace under not-for-profit programmes
  • Xero for club accounts
  • Bar and canteen point of sale with eftpos
  • Draw, results and scoring apps
  • Livestreaming cameras for club games

IT for sports clubs & associations: questions

Can our club get software at a discount?

Many incorporated societies and registered charities are eligible for donated or discounted licences through vendors' not-for-profit programmes. We check eligibility with you and set up only the licences the committee actually needs.

How do we stop losing files when committee members change?

Use role-based accounts and shared club storage instead of personal email and drives. When someone leaves a role, we change the password or reassign the account and everything stays with the club.

Can you sort out our clubroom Wi-Fi and bar?

Yes, for clubs in Auckland and Hamilton we can visit to survey the clubrooms, separate the POS and member networks and install access points. Work is quoted in writing first. Clubs elsewhere can get remote advice and configuration.

How do we keep junior player details safe?

Keep registrations in your national body's system or club-owned storage, limit access to the registrar and relevant coordinators, and avoid copies in personal spreadsheets or group chats. We help set this up and train volunteers.

Do we need a monthly plan?

Many clubs only need help a few times a year and use pay as you go at $109 per hour remote or $159 onsite plus GST. Associations with paid staff usually put those staff on the Essentials plan at $69 per user per month.

Can you help with livestreaming games?

We can set up the network and internet capacity a stream needs and keep it separate from the bar and member Wi-Fi. Camera choice and production remain with your club or streaming partner.
