IT support for travel agencies
Travel consultants handle passports, payment details and travel plans for every client. We keep booking systems, email and devices secure and reliable so consultants can focus on the trip, not the technology.

IT for travel agencies
A travel agency holds some of the most useful information a fraudster could want: passport numbers, dates of birth, home addresses, card details and exact dates when clients will be away from home. Consultants work across global distribution systems, airline and supplier portals, accounting software and a busy inbox full of itineraries and attachments. Many now work from home or as home-based associates, which spreads that information across more devices, home networks and connections that the agency does not control.
Email is the centre of most agencies and also their biggest weakness. Suppliers send invoices and payment requests all day, clients send copies of passports, and scammers copy both. A single compromised mailbox can be used to send fake invoices to clients about to pay for a holiday. Meanwhile, consultants need fast, reliable access to booking systems, often under pressure while a client waits on the phone or an itinerary changes overnight.
Office IT supports travel agencies, travel management companies and home-based consultants with three to seventy-five staff. We secure email and sign-in, keep passport and payment information out of loose files, give remote consultants managed laptops and stable access to booking tools, and back up every mailbox. We also help agencies set clear rules for staff on how client documents and payments are handled. Offices in Auckland and Hamilton get onsite support, and consultants elsewhere in New Zealand are supported remotely.
Common IT problems in this industry
Passport and identity data
Passport scans, visa forms and dates of birth arrive by email and spread into downloads folders, printers and personal phones.
Fake supplier and client invoices
Lookalike emails ask clients to pay a new account or tell consultants a supplier's bank has changed. The amounts involved are often large.
Card details in the wrong places
Card numbers written into emails, notes or spreadsheets breach payment rules and become a liability if a device or mailbox is compromised.
Home-based consultants
Consultants working from home on their own computers make it difficult to control where client information ends up.
Many supplier portals
Airlines, wholesalers, cruise lines and insurers each have separate logins, often reused or shared between consultants.
Mailbox history matters
Years of client correspondence live in email. Losing a mailbox or a consultant's archive can mean losing the record of a booking dispute.
What we set up for you
Hardened email
Multi-factor sign-in on every mailbox, filtering for spoofed and lookalike senders and alerts on suspicious forwarding rules.
Passport files in one place
A protected location for identity documents with access limited by consultant, and a routine to clear copies from devices and inboxes.
Safe card handling
We help you take card details through approved payment tools rather than email, and remove stored card numbers from files we find.
Managed laptops for consultants
Office and home-based consultants use encrypted, managed laptops that can be locked and wiped if lost.
Password manager for supplier logins
Supplier and booking portal credentials are stored in a password manager with per-consultant access instead of a shared document.
Mailbox backup
Every mailbox is backed up, including after a consultant leaves, so booking history can be recovered when it is needed.

Backup & disaster recoveryIT for travel agencies: questions
How do we stop fake invoices being sent to our clients?
Protect every mailbox with multi-factor sign-in, set up email authentication on your domain so others cannot easily send as you, and tell clients clearly that you will never change bank details by email. We set up the technical side and monitor for suspicious mailbox rules.
How should we handle passport copies?
Keep them in one protected location with limited access, delete copies from inboxes and devices once the booking is done, and avoid printing where possible. We help set this up and remove old copies spread across your systems.
Can home-based consultants be supported?
Yes. We supply or manage company laptops, protect sign-in and keep client data in your organisation's storage. Support is remote, so consultants anywhere in New Zealand are covered.
Do you support global distribution systems?
We support the computers, network and accounts that consultants use to reach them. Faults within a distribution system or supplier portal are handled by that provider, and we help you raise and follow them up.
What happens to a consultant's email when they leave?
We keep their mailbox and files, convert the mailbox to a shared or archived one if needed and remove their access straight away, so client history stays with the agency.
Which plan suits a travel agency?
Most agencies choose the Managed plan at $119 per user per month plus GST, which includes email security and Microsoft 365 backup. Agencies that want staff security training included choose Complete at $169.
