IT for financial advisers

Financial advice firms sit under one of the most demanding regulatory regimes in New Zealand. Since full licensing came in under the Financial Markets Conduct Act, every financial advice provider needs a licence from the FMA and must meet the Code of Professional Conduct for Financial Advice Services. In practice that means showing your working: what the client told you, what you recommended and why. Those records have to be complete, accurate and retrievable, sometimes years after the advice was given.

The data itself is valuable. Portfolio valuations, account numbers, KiwiSaver balances and estate plans are precisely what fraudsters look for, and a compromised adviser mailbox can be used to send convincing withdrawal or transfer requests to platforms. The FMA has also made it clear that it expects licensed providers to manage cyber and operational resilience risk, including keeping services running for clients and recovering quickly when something does go wrong, without losing the records that show what was advised.

Office IT supports advice firms and wealth practices with three to seventy-five staff. We secure Microsoft 365 and the investment platform sign-ins, organise client files and advice records with clear permissions, manage devices and keep daily, tested backups. We also write down how it all works, so when your licence holder or the FMA asks how client information is protected and how you would recover from an outage, you have a clear and accurate answer.

Common IT problems in this industry

Licensing and conduct obligations

FMA licensing expects documented processes for information security and business continuity. Many small firms have the controls in their heads but nothing written down.

Advice records that must last

Statements of advice, file notes and risk profiles need to be retrievable long after the client relationship ends, even if staff and systems change.

Fraudulent withdrawal requests

A criminal with access to an adviser's email can request transfers or redemptions that look legitimate. Platforms and clients both rely on the adviser's checks.

Many platforms, many logins

Wrap platforms, fund managers, KiwiSaver providers and research tools each have separate accounts, and access often isn't removed when an adviser leaves.

AML/CFT where it applies

Firms that manage investments or hold client funds may be reporting entities, with identity and due diligence records that must be stored securely.

Small teams, single points of failure

In a practice of a few people, one person often knows how everything is set up. If they are away, nobody can fix a problem or find a password.

What we set up for you

Written security and continuity notes

We document how sign-ins, devices, backups and recovery work in plain English, so your policies match what is actually in place.

Protected platform access

Investment platform and provider logins sit in a company password manager with multi-factor sign-in, and access is reviewed whenever staff change.

Client files with clear permissions

Advice records and client documents are stored in SharePoint or your practice system with access by role, and every change is logged.

Verification for money movements

We help you set a call-back rule for withdrawals and bank detail changes, supported by filtering that catches spoofed and lookalike emails.

Encrypted, managed devices

Laptops and phones are encrypted, updated automatically and can be wiped remotely, so client portfolios never sit unprotected on a lost device.

Recoverable backups

Mail, files and any local systems are backed up daily and test restores are carried out, giving you evidence that recovery actually works.

Systems we support

We work with the software and equipment your business already relies on, and with your software vendors when something needs their help.

  • Financial planning and advice software
  • Investment wrap platforms and fund manager portals
  • KiwiSaver provider adviser portals
  • Client relationship management software
  • Microsoft 365, Outlook, Excel and Teams
  • Electronic signature tools for statements of advice
  • Secure client portals for sharing reports

IT for financial advisers: questions

Can you help us meet FMA expectations on cyber security?

We don't give regulatory advice, but we put in place and document the technical controls that licensed providers are expected to have: multi-factor sign-in, device management, backups, access reviews and an incident plan. Your compliance adviser can then map those to your licence obligations.

How do we prove our backups work?

We run regular test restores and record the results, so you can show that files and mailboxes can actually be recovered. A backup that has never been tested is a guess, not a control.

What happens to an adviser's access when they leave?

We disable their Microsoft 365 account, remove them from the password manager and shared folders, and give you a checklist of platform and provider logins to close. Their mailbox can be kept for your records.

Can clients receive reports securely?

Yes. Rather than emailing portfolio reports as attachments, we can set up a client portal or secure sharing links with expiry dates, so reports go only to the intended person.

Do you support advisers who work from home?

Yes. Company laptops with multi-factor sign-in, encryption and cloud file access let advisers work from home or a client's office without client data ending up on a personal computer.

How is support priced?

Plans run from $69 to $169 per user per month plus GST. Most advice firms choose Managed at $119 or Complete at $169, which adds onsite support in Auckland and Hamilton and staff security training.
