IT support for real estate agencies

Agents work from cars, open homes and kitchen tables, while the office handles deposits, contracts and listings. We make the technology behind both sides reliable and hard to attack.

IT for real estate agencies

A real estate agency is really two businesses sharing one brand. Out in the field, salespeople need phones, tablets and laptops that work at an open home, upload photos quickly and keep vendor and buyer details safe. Back in the office, administrators manage listings, agreements, trust account deposits and compliance records under the Real Estate Agents Act 2008. Both halves depend on email, cloud apps and shared files, and both are let down by the same weak passwords and unmanaged devices.

Agencies are reporting entities under the AML/CFT Act, so customer due diligence on vendors has to be completed and the records kept. Deposits move through the trust account on tight timelines, and that is exactly where fraudsters strike, by sending a buyer fake bank details from a compromised or lookalike mailbox. Many salespeople are independent contractors using their own devices, which makes it harder to know where agency data actually lives.

Office IT supports agencies and franchise offices with three to seventy-five people, including independent contractor salespeople. We secure every mailbox and sign-in, give agents a managed way to use their phones and laptops, set up reliable office Wi-Fi and printing, and keep AML/CFT and listing records organised and backed up. When an agent leaves, their access to agency systems ends that afternoon, while their client history stays with the business.

Common IT problems in this industry

Deposit and settlement fraud

Fake bank details sent to buyers are one of the most damaging scams in property. A single diverted deposit can be devastating for the buyer and the agency.

AML/CFT customer due diligence

Identity documents and due diligence records for vendors must be collected, stored securely and produced if the supervisor asks for them.

Contractor agents on own devices

Independent salespeople often use personal phones and laptops. Without management, vendor and buyer data stays on those devices when they move on.

Heavy photo and video files

Listing photography, drone footage and video walkthroughs are large. Slow office internet and full phones hold up campaigns going live.

Shared office equipment

Busy front desks rely on printers for agreements and marketing material, and on Wi-Fi that copes with every agent arriving for the Monday sales meeting.

Database and CRM ownership

The agency's client database is its most valuable asset. Exports to personal accounts and unmanaged logins put it at risk.

What we set up for you

Mailbox protection and alerts

Multi-factor sign-in, spoof and lookalike domain filtering and alerts on unusual forwarding rules help stop a criminal hiding inside a salesperson's email.

Mobile device management

Agency apps and data on contractor phones sit in a managed work profile that can be removed without touching the agent's personal photos or apps.

Organised compliance records

AML/CFT documents and agency agreements are stored in access-controlled folders, backed up daily and easy to find for an audit.

Fast office connectivity

We size the internet connection for photo and video uploads, add a backup connection where it matters and set up Wi-Fi with separate guest access.

Printers that just work

Office printers and copiers are set up for scanning to email and folders, with secure release so signed agreements are not left in the tray.

Clean starts and exits

New agents are set up with accounts and devices quickly, and leavers lose access to email, CRM and shared files as soon as they finish.

Systems we support

We work with the software and equipment your business already relies on, and with your software vendors when something needs their help.

  • Real estate agency CRM and listing management software
  • Trade Me Property and realestate.co.nz listing tools
  • Trust accounting software
  • Electronic signature tools for agreements and authorities
  • Microsoft 365 or Google Workspace
  • Photo editing and video upload tools
  • AML/CFT identity verification services

IT for real estate agencies: questions

How do we stop buyers being sent fake bank details?

Combine a process with technology. Tell every buyer, in writing and early, that your bank details will never change by email. Then we add multi-factor sign-in, lookalike domain detection and forwarding rule alerts so a compromised mailbox is caught quickly.

Our salespeople are contractors. Can we still manage their devices?

Yes. We use a work profile on their phones and managed apps on their laptops, which protects agency data without taking control of the whole personal device. When they leave, only the agency data is removed.

Where should AML/CFT records be stored?

In one access-controlled location that is backed up and searchable, not in individual inboxes. We set that up and limit access to the people who need it. Your AML/CFT compliance officer decides what is collected and how long it is kept.

Can you improve our office Wi-Fi for sales meetings?

Yes. We survey the office, place access points where people actually sit and separate staff, guest and device networks. If more data points are needed, our technicians run the low-voltage cabling.

Can you help us move to a new CRM?

We handle the devices, accounts, data exports and staff setup around a CRM change, and work with the vendor on the migration itself. Any project like this is quoted in writing first.

What does support cost for an agency?

Plans are per user per month plus GST: Essentials $69, Managed $119 and Complete $169. Many agencies put office staff on Managed and pay as you go at $109 an hour remote for occasional help with contractors' devices.
