IT support for event companies
Events happen once, on a fixed date, in places that were not built for your technology. We help event companies plan connectivity that holds up on the day and keep the office systems behind every event secure.

IT for event companies
Event and conference companies live by the calendar. Months of planning lead to a few days when registration desks, ticket scanners, payment terminals, live streams and presenters all need working connections in a venue, marquee or paddock that may have poor internet or none at all. If the Wi-Fi fails at check-in, the queue is out the door within minutes, and there is no chance to run the day again. Getting the technology right is planned work, done well before doors open.
Behind every event sits an office managing contracts, supplier payments, attendee registrations and sponsor details. Registration data often includes names, contact details, dietary and accessibility needs and sometimes payment information, all covered by the Privacy Act 2020. Event staff and contractors are mobile, numbers swing sharply between quiet periods and peak season, and supplier payments to venues, caterers and production crews are frequent and time-critical, which makes them an attractive target for invoice fraud.
Office IT supports event and conference companies with three to seventy-five staff. We plan and set up temporary internet and Wi-Fi for events, using fibre, 4G and 5G, satellite or a combination where coverage is uncertain, and make sure registration and payment devices are secure. In the office we look after Microsoft 365, devices and backups, and we help you bring seasonal staff on and off quickly. Event setups in Auckland and Hamilton can be supported onsite; elsewhere by arrangement.
Common IT problems in this industry
Unreliable venue internet
Many venues have shared or limited internet, and outdoor sites may have no fixed connection at all. Attendee demand can swamp what is there.
Registration and check-in
Scanning tickets and printing badges for hundreds of people at once depends on devices and connections that cannot be allowed to fail.
Attendee personal data
Registration lists include contact, dietary and accessibility details that must be protected and deleted when no longer needed.
Supplier payment fraud
Frequent, urgent payments to venues, caterers and AV suppliers create openings for fake invoices and altered bank details.
Seasonal and contract staff
Teams grow fast before big events and shrink afterwards. Accounts and devices are often left active long after the season ends.
Live streaming and hybrid events
Streams and remote presenters need upload bandwidth and a stable connection that standard venue Wi-Fi rarely provides.
What we set up for you
Event connectivity plans
We assess the venue, then plan internet using fixed lines, 4G or 5G and satellite services, with a backup connection for critical services such as check-in.
Temporary Wi-Fi networks
Separate networks for registration, payment devices, staff, presenters and guests keep critical traffic from competing with attendees' phones.
Secure registration devices
Laptops, tablets and scanners used at check-in are managed, locked down and wiped after the event so attendee data does not travel with them.
Payment verification
Email filtering and a call-back rule for new or changed supplier bank details protect the supplier payments that peak before every event.
Seasonal staff on and off
A simple process gives temporary staff accounts and devices quickly, then removes access as soon as the season finishes.
Office systems and backups
Microsoft 365, file storage and devices at head office are managed and backed up daily, so planning work is safe whatever happens on site.

Managed ITIT for event companies: questions
Can you provide internet at an outdoor event?
Yes, in most places. We check mobile coverage and line of sight for satellite, then design a setup that uses one or more of 4G, 5G and satellite services with Wi-Fi across the area you need. Every event setup is quoted in writing first.
How much bandwidth does an event need?
It depends on what runs on it. Check-in and payments need little but must be reliable, while live streaming needs strong upload speed. We work from your run sheet to size the connection and keep critical services on their own network.
Do you stay on site during the event?
For events in Auckland and Hamilton, we can have a technician on site during setup and the event by arrangement, billed at $159 an hour plus GST or as part of a quoted project. Elsewhere we set up in advance and support remotely.
How do we protect attendee data?
Collect only what you need, keep registration data in your platform or secure storage rather than spreadsheets in inboxes, wipe event devices afterwards and delete data when it is no longer required. We set up the devices and storage to make that practical.
Can you power equipment in a marquee?
We handle low-voltage data and network equipment only. Mains power at an event, including distribution boards and leads, must be arranged with a registered electrician or the venue's power provider.
How is ongoing office support priced?
Office support is per user per month plus GST: Essentials $69, Managed $119 or Complete $169. Event connectivity and onsite event support are quoted separately for each event.
