IT support for transport and freight companies
Trucks only earn when they move, and every load depends on the dispatch desk, the driver's device and the depot network doing their jobs. We look after the IT that keeps a fleet on the road and the paperwork moving behind it.

IT for transport & freight companies
A transport operator's office is small compared with its fleet, but it carries the whole operation. Dispatchers plan runs and allocate loads, drivers receive jobs and capture proof of delivery on a tablet or phone, telematics units report location and hours, and the accounts team turns completed jobs into invoices. Early starts are normal, and a dispatch screen that will not load at a quarter to five can hold up every truck in the yard before a single kilometre has been driven.
Fleet IT is spread out by nature. There are devices in cabs, PCs in depots, a yard gate or weighbridge computer, and staff who never sit at a desk. Driver turnover means accounts and devices change hands often, and old tablets with outdated software keep working long after they should have been retired. Depots on the edge of town may have patchy broadband, and nobody is quite sure who manages the router in the workshop, or whether its password was ever changed.
Office IT supports transport and freight companies with three to seventy-five office and depot staff. Our technicians work onsite in Auckland and Hamilton, which covers the Golden Triangle freight routes well, and we support depots in other regions remotely, with planned visits by arrangement. We manage the office systems, the depot networks and the driver devices, and we work alongside your telematics and dispatch software providers rather than replacing them, so each one does its job properly.
Common IT problems in this industry
Dispatch has to work early
Runs are planned before dawn. A slow server, failed update or internet drop at the depot delays every vehicle waiting for its first job of the day.
Driver devices in hard conditions
Tablets and phones in cabs face heat, vibration, dust and drops. Consumer devices fail quickly and are hard to keep consistent across a fleet.
High driver turnover
New drivers need a device and login straight away, and leavers' access must be removed. Done by hand, both steps get missed.
Depot connectivity
Depots and yards on industrial edges often have slower broadband, and a single connection is a single point of failure for the whole site.
Telematics and logbook data
Location, hours and road user charge data must reach the office reliably, and the accounts that hold it need proper protection.
Proof of delivery disputes
If photos and signatures do not sync from the driver's device, the business has no evidence when a customer disputes a delivery or a damage claim.
What we set up for you
Managed fleet devices
Rugged tablets or phones are enrolled in device management, locked to the apps drivers need and updated centrally, so a replacement can be ready to go in minutes.
Fast starter and leaver process
A simple checklist and automation create and remove driver accounts and devices, so access follows the roster rather than lagging weeks behind it.
Depot internet with backup
We set up a second connection, such as fixed wireless, 4G or satellite, that takes over automatically if the main broadband line at a depot goes down.
Secure depot networks
Office PCs, yard computers, cameras and guest devices sit on separate networks behind a business firewall, so a problem in one area stays there.
Office systems that are ready early
Updates and restarts are scheduled for times that suit your roster, and we check the dispatch PCs and servers are up before the first runs.
Data and document backup
Job records, proof of delivery files and Microsoft 365 data are backed up daily, with restore tests, so evidence is available when a claim comes in.

Laptops, PCs & devicesIT for transport & freight companies: questions
Do you replace our telematics or dispatch system?
No. Those systems are specialised and your provider supports them. We look after the devices they run on, the networks they connect through, the user accounts and the office side, and we raise faults with the provider when the issue is on their end.
Should we buy rugged tablets for our drivers?
For most fleets, yes, or at least ruggedised cases and proper mounts. Consumer tablets are cheaper upfront but crack, overheat and fail sooner in a cab. We help you compare the total cost over the life of the device and set them up so a swap is quick.
Can new drivers be set up the day they start?
With good preparation, yes. We keep spare enrolled devices ready and a standard account template, so a new starter can be issued a working tablet and login quickly. Leavers are removed in one step, which matters just as much.
Our depot is outside Auckland. Can you still help?
Yes. Device management, account changes and network monitoring all work remotely, and our help desk can talk drivers and depot staff through most problems. Hardware installs at regional depots are done on a planned visit or by a local contractor working to our plan.
What happens if the depot internet fails?
Without a backup, dispatch and proof of delivery uploads stop. We install a failover connection that switches over automatically, and we are alerted when the main line drops, so the provider can be chased while you keep working.
How do you charge for driver devices?
We agree a scope based on your office users and the fleet devices we manage, and quote it in writing before anything starts. Office staff are typically on the Managed plan at $119 per user per month plus GST, and hardware is always quoted in writing first.
