IT support for beauty and skin clinics
Your clients book online, arrive expecting a calm experience and trust you with their photos and medical details. We keep the technology behind that experience smooth and private.

IT for beauty & skin clinics
Beauty, skin and cosmetic clinics run on bookings. Online scheduling fills the calendar, automated reminders cut no-shows, and reception handles payments, deposits, gift vouchers and retail sales. Treatment rooms increasingly use tablets for consultation forms and before-and-after photos, and some clinics run advanced devices for laser, skin analysis or body treatments that come with their own software. When the booking system or card terminal fails on a Saturday morning, the whole day is affected.
Clinics also collect more personal information than most people realise. Consultation forms often include medical history, medications and allergies, and before-and-after images are among the most private photos a client will ever allow to be taken. That information is covered by the Privacy Act 2020, and clinics offering medical or cosmetic procedures may also be holding health information under the Health Information Privacy Code 2020. Images stored on a staff member's personal phone are a common and serious risk.
Office IT supports beauty and skin clinics with three to seventy-five staff. We set up booking, payment and reception systems so they are dependable and secure, give treatment rooms managed tablets for forms and photos, keep client images in protected storage rather than on phones, and separate guest Wi-Fi from everything else. We also help clinics with more than one location run the same setup everywhere, so staff can work at any site without relearning anything.
Common IT problems in this industry
Client photos on personal phones
Before-and-after images taken on staff phones sync to personal cloud accounts and stay there long after the staff member leaves.
Medical details on consultation forms
Forms record medications, allergies and conditions. Paper forms get lost, and emailed PDFs end up scattered across inboxes.
Booking system dependence
Online booking, reminders, deposits and staff calendars all depend on one system and a working internet connection.
Card payments, deposits and vouchers
Taking deposits online and payments at the desk brings card security expectations from banks and payment providers.
Treatment device software
Laser and skin analysis devices may need a connected PC or tablet that must be kept working through updates.
Guest Wi-Fi in a relaxed space
Clients expect Wi-Fi while they wait or during treatments, but it must not share a network with payments and client records.
What we set up for you
Managed treatment room tablets
Clinic-owned tablets for consultation forms and photos, encrypted and centrally managed, so client images never touch a personal phone.
Protected image storage
Before-and-after photos are stored in the client record or a locked-down location with access limited to the staff who need it.
Digital consultation forms
Forms completed on a tablet or online are saved straight to the client file, removing loose paper and emailed attachments.
Secure booking accounts
Booking and payment accounts use individual logins with multi-factor sign-in, and leavers are removed on their last day.
Separate payment and guest networks
Card terminals, staff devices and guest Wi-Fi each sit on their own network segment behind a managed firewall.
Backup internet connection
A mobile backup link keeps online booking, reminders and card payments working if the main connection drops on a busy day.

Cyber securityIT for beauty & skin clinics: questions
Our staff take client photos on their own phones. What should we do?
Move photo capture to clinic-owned, managed tablets or phones, and store images in the client record or a protected location. We can then help you remove client photos from personal devices and set a clear rule for the future.
Are consultation forms covered by privacy law?
Yes. The personal and medical details on consultation forms are covered by the Privacy Act 2020, and clinics providing health services may also fall under the Health Information Privacy Code. We set up the technical safeguards, such as access control, encryption and backups, while you manage the policies.
Can you help if our booking system stops working?
We check the devices, internet connection, browser and sign-in on our side, and contact the booking provider's support if the fault is with them. A backup internet connection removes the most common cause of booking and payment outages.
How do we keep card payments secure?
Card terminals should run on their own network segment, staff should use individual logins for any payment portals, and card details should never be written down or emailed. We set up the network and accounts so that is the normal way of working.
Can you connect our new treatment device?
Yes. We prepare the network and any PC or tablet the device needs, coordinate with the device supplier and check it works with your other systems. We handle low-voltage data work only; any power requirements are for your registered electrician.
Which plan suits a small clinic?
Many small clinics start on the Essentials plan at $69 per user per month plus GST. Clinics that want email security and Microsoft 365 backup included move to Managed at $119, and Complete at $169 adds onsite visits and staff security training.
