IT support for home and community care providers

Your workforce spends the day in clients' homes, not at a desk. We make sure their phones, apps and sign-ins work in the field and keep client information safe wherever it travels.

IT for home & community care providers

Home and community care is delivered one visit at a time. Support workers and nurses drive between clients through the day, checking rosters on their phones, recording visit notes, confirming arrival and departure and flagging concerns back to coordinators. Coordinators juggle changes, sickness and new referrals from the office. For the people being cared for, a missed or late visit is not a minor inconvenience, so the systems that tell workers where to be next have to be reliable.

The information involved is personal and often sensitive: addresses, health conditions, care plans, key safe codes and family contacts. It is health information under the Health Information Privacy Code 2020, yet it frequently lives on phones that also hold the worker's personal photos and messages. Lost phones, shared logins and workers who leave without handing back a device are everyday problems. Funders and contract managers also expect providers to show how they protect client details and keep accurate visit records.

Office IT supports home and community care providers with three to seventy-five office and field staff using company systems. We set up and manage the phones and tablets your workers carry, secure the rostering and care apps with proper sign-in, organise client documents in Microsoft 365 and look after the office that coordinates it all. Support is remote across New Zealand, which suits a mobile workforce, with onsite help in Auckland and Hamilton.

Common IT problems in this industry

Phones as the main work tool

Rosters, visit notes and messages all run on a worker's phone. A phone that will not sync or sign in leaves them without their next address.

Personal and company data mixed

Workers often use their own phones, so client care plans and key safe codes sit next to personal apps and photos.

Lost and unreturned devices

Phones go missing in cars and homes, and some are never handed back when a worker leaves. Each one may hold client details.

Patchy mobile coverage

Rural roads and some homes have poor coverage, so apps need to keep working offline and sync reliably when signal returns.

Coordinator workload

The office handles constant roster changes, referrals and family calls. Slow systems there ripple out to every visit.

Contract reporting

Funders expect accurate visit records and evidence that client information is protected, which depends on systems being set up properly.

What we set up for you

Managed company phones

Company phones are enrolled in device management, so apps, settings and security are pushed out centrally and a lost phone can be locked or wiped.

Protected apps on personal phones

Where workers use their own phones, work apps run inside a managed container that can be removed without touching personal data.

Simple, secure sign-in

Multi-factor sign-in that works on a phone in a client's driveway, with sensible session lengths so workers are not locked out mid-visit.

Device handover process

A clear issue and return process, with remote wipe and account removal when a worker leaves or a device is not returned.

Organised client documents

Care plans, assessments and correspondence are stored in Microsoft 365 with permissions by team, rather than scattered across inboxes and phones.

Steady coordination office

Reliable PCs, internet, phones and printing for coordinators, with a backup connection so rosters can be changed even if the main line fails.

Systems we support

We work with the software and equipment your business already relies on, and with your software vendors when something needs their help.

IT for home & community care providers: questions

Should we give workers company phones or let them use their own?

Both can work. Company phones give the most control and are simpler to manage when staff leave. Personal phones cost less, but need managed apps so client information stays separate and removable. We help you weigh the costs and set up whichever model suits your workforce.

What happens when a worker loses a phone?

They tell the office, and we lock the device and sign it out of every work app. If it is a company phone, it can be wiped completely. If it is personal, only the work data is removed. Client information does not stay exposed while you wait for it to turn up.

Can our care apps work where there is no signal?

That depends on the app, and most good ones store data offline and sync later. We make sure devices are set up to allow it, keep apps current and check that phones have enough storage and battery settings to sync reliably once signal returns.

How do we show funders that client data is protected?

We set up and document the safeguards: managed devices, encryption, multi-factor sign-in, access by role and checked backups. That gives you a clear written account to include in contract reporting or security questionnaires.

Can you support workers outside Auckland and Hamilton?

Yes. Phone and app support is delivered remotely anywhere in New Zealand, which suits a mobile workforce. Devices can be prepared centrally and couriered, so a new worker receives a phone that is ready to use.

Does the Health Information Privacy Code apply to home care?

Yes. Home and community care providers collect health information about the people they support, so the Code applies. We handle the technical safeguards, and your organisation remains responsible for privacy policies and client requests.
