IT support for early childhood centres

Teachers should be with the children, not wrestling with a tablet that will not upload a learning story. We keep centre devices, records and photos working and protected.

IT for early childhood centres

Early childhood centres hold some of the most sensitive information any small organisation keeps: children's names, photos, health and allergy details, custody arrangements, enrolment forms and the contact details of every whānau. Teachers capture learning on tablets throughout the day and share it with families through online portfolios. The office manages enrolments, attendance, fees, subsidies and reporting to the Ministry of Education. All of this happens in a busy environment where the staff using the technology are focused, rightly, on the children.

That information is covered by the Privacy Act 2020, and a photo of a child reaching the wrong person, or an enrolment file sitting on an unprotected laptop, can cause real distress for a family. Centres also face the everyday problems of shared devices: tablets passed between teachers, one login for the office PC, Wi-Fi that does not reach the outdoor area or the sleep room, and staff who leave without anyone removing their access to the portfolio system.

Office IT supports early childhood centres and small groups of centres with three to seventy-five staff. We set up and manage teacher tablets, make sure Wi-Fi covers the whole centre, secure portfolio, enrolment and email accounts, and keep enrolment records and documents backed up. Remote support covers centres anywhere in New Zealand, with onsite visits in Auckland and Hamilton, and we plan changes around the centre day so teaching is never interrupted.

Common IT problems in this industry

Children's photos everywhere

Photos taken on tablets and personal phones can end up in personal cloud accounts or shared beyond the families who should see them.

Sensitive enrolment records

Health, allergy, custody and contact details must be accurate, protected and available to the right staff quickly.

Shared teacher tablets

Tablets are passed between teachers and rooms, often signed in to one account, with no clear record of who posted what.

Wi-Fi in every room

Sleep rooms, outdoor areas and separate buildings often have poor coverage, so stories and photos fail to upload.

Office and reporting load

Attendance, fees, subsidy claims and Ministry of Education reporting all depend on reliable office systems and internet.

Staff and relievers coming and going

Relievers and departing staff can keep access to portfolios and email unless accounts are removed promptly.

What we set up for you

Managed teacher tablets

Centre tablets are managed centrally, limited to approved apps, locked with a passcode and wiped remotely if one goes missing.

Photos kept on centre devices

Children's photos are taken on centre devices and go only to the portfolio system, with personal phones kept out of it.

Whole-centre Wi-Fi

Access points placed so every room, the outdoor area and any separate buildings have reliable coverage for uploads.

Individual accounts for staff

Each teacher has their own login for portfolio and email apps, and relievers get limited, time-bound access.

Protected office records

Enrolment and child records are stored in your centre management system or a secure Microsoft 365 location, backed up and checked.

Separate visitor and staff networks

Parents and visitors who need Wi-Fi use a guest network that cannot see centre devices or records.

Systems we support

We work with the software and equipment your business already relies on, and with your software vendors when something needs their help.

  • Online learning portfolio apps such as Storypark
  • Early childhood centre management and enrolment software
  • Attendance and Ministry of Education funding returns
  • Fees, invoicing and subsidy management
  • Microsoft Intune or similar tablet management
  • Microsoft 365 or Google Workspace for staff email

IT for early childhood centres: questions

Should teachers use personal phones to take photos?

We recommend against it. Photos on personal phones often sync to private cloud accounts and stay there. Centre-owned, managed tablets let teachers capture learning while keeping images inside the portfolio system, where families and your centre control who sees them.

Can you fix Wi-Fi that does not reach our outdoor area?

Usually. We survey the centre, then add business-grade access points, including weather-rated units for outdoor areas where needed. The data cabling is low-voltage work we do ourselves, and the project is quoted in writing first.

How do we remove a teacher's access when they leave?

We set up a simple leaver process: one request disables their email, portfolio and centre management accounts, and their tablet sign-ins are removed. Relievers can be given access that expires automatically.

Is children's information covered by privacy law?

Yes. Information about children and their families is personal information under the Privacy Act 2020. We put in the safeguards that protect it, such as managed devices, individual logins and backups, while your centre manages consent and sharing policies.

Can you support a group of centres?

Yes. We set every centre up to the same standard, so tablets, Wi-Fi and accounts work the same way everywhere, and managers have one place to ask for help. Support is remote across New Zealand with onsite visits in Auckland and Hamilton.

Which plan suits a single centre?

Most single centres only need plans for the staff who use office systems and email, and many start on Essentials at $69 per user per month plus GST. Teacher tablets can be managed as shared devices, and we explain how that is priced before you commit.
