IT support for facilities management companies
Facilities managers keep other people's buildings safe, compliant and running. We look after the field devices, maintenance systems, compliance records and building networks that make that possible.

IT for facilities management companies
Facilities management companies juggle a long list of buildings, contracts and service providers. Planned maintenance is scheduled through a maintenance or computer-aided facilities management system, reactive jobs arrive by email, phone and portal, technicians and subcontractors attend sites with phones or tablets, and every inspection, test and repair needs to be recorded. Building warrant of fitness inspections, fire system checks and contractor induction records are not optional extras, and a client will ask for evidence the moment something goes wrong in their building.
The IT challenge is that the work happens everywhere except the office. Technicians move between sites, sign in to client portals and building management systems, and photograph meters and fire panels. Subcontractors need job details but not access to the whole client list. Many facilities firms also look after site technology such as CCTV, access control and building management system networks, and the line between the client's network and the facilities team's responsibilities is often blurry and rarely written down.
Office IT supports facilities management companies with three to seventy-five staff. Our technicians work onsite in Auckland and Hamilton, and facilities teams in other regions are supported remotely, with planned site visits for project work by arrangement. We manage your technician devices and accounts, keep maintenance and compliance records backed up, protect the email and client portals your team uses, and can design and install CCTV, access control and data networks for the buildings you manage, with power work left to a registered electrician.
Common IT problems in this industry
Mobile technicians and subcontractors
Field staff need devices and access on the move, and subcontractors need job details without seeing your full client and contract data.
Compliance evidence on demand
Building warrant of fitness, fire and safety inspection records must be complete and retrievable for each building, often quickly.
Many client portals and systems
Each client may have its own portal, building management system or access control software, each with its own login to manage.
Blurred network responsibilities
CCTV, access control and building systems often share networks with client equipment, so it is unclear who maintains what.
Job volume and email overload
Reactive requests arrive by email from many clients, and important jobs get buried without a shared inbox and clear process.
Contract changes and handovers
When a contract ends or starts, building data, credentials and records need to be handed over cleanly and securely.
What we set up for you
Managed field devices
Technician phones and tablets are enrolled, updated and set up with your maintenance app, so a lost device can be locked and replaced quickly.
Role-based access for subcontractors
Subcontractors get access limited to the jobs and sites they work on, with accounts that expire when the work is finished.
Building-by-building records
Compliance documents, inspection reports and photos are organised by building and backed up daily, so evidence can be found in minutes.
Credential vault for client systems
A business password manager stores client portal and building system logins, shared by role and removed when staff leave or contracts end.
CCTV and access control networks
We design and install camera, access control and building system networks on their own segments, documented so responsibilities are clear.
Shared service inboxes
Reactive job requests flow into shared mailboxes or your maintenance system, with rules and filtering so urgent jobs are not lost.

Networks & Wi-FiIT for facilities management companies: questions
Do you install CCTV and access control in buildings we manage?
Yes. We design and install CCTV, access control and the data networks they use, and document them so the building owner, facilities team and other contractors know who looks after what. Power supplies and mains work are done by a registered electrician.
How should subcontractors access our maintenance system?
Give them their own accounts with access limited to their jobs and sites, rather than a shared login. We set this up with your maintenance system and add expiry dates, so access ends when the contract or job does.
How do we keep track of logins for client building systems?
Store them in a business password manager organised by building or client, shared by role. When a technician leaves or a contract ends, access is removed in one place rather than chasing passwords across phones and notebooks.
Can you help us find compliance records faster?
Yes. We organise inspection reports, certificates and photos by building in SharePoint or your maintenance system, and back them up daily. Your team decides what is kept, and we make sure it is easy to find and protected.
We manage buildings across the North Island. Can you cover them?
Office, device and account support is remote and works anywhere in New Zealand. Onsite visits are standard in Auckland and Hamilton; installation projects at buildings in other regions are planned in advance and done on an arranged visit.
What does support cost?
Office and technician staff are usually on the Managed plan at $119 per user per month plus GST, or the Complete plan at $169 if you want onsite support and security training included. CCTV, access control and network projects are quoted in writing before work starts.
