IT support for membership and industry associations
An association lives on its member database, its renewals and its events. We keep those systems secure and connected, so a small secretariat can serve a large membership without the technology getting in the way.

IT for membership & industry associations
Industry bodies, professional associations and membership organisations usually have a small staff serving hundreds or thousands of members. The member database is the heart of the organisation: contact details, membership categories, payment history, qualifications and continuing professional development records. Around it sit online renewals and payments, event registrations, email newsletters, a member portal on the website, and a board that meets in person and online throughout the year. Staff need all of this to work together, often with only one or two people looking after it.
Those systems are often bought at different times and connected loosely, so staff copy data between them by hand. Board members use personal email, member lists get exported to spreadsheets for mail-outs, and nobody is sure who still has access to the old website admin. Associations are also targets for scams that copy their branding, because a convincing renewal or event invoice can reach every member at once and undermine trust in every genuine message that follows.
Office IT supports associations, federations and professional bodies with three to seventy-five staff. We secure the member database and the accounts that reach it, help connect renewals, events and finance more cleanly, protect your domain from impersonation, give board members proper accounts and keep staff productive in the office and at home. Offices in Auckland and Hamilton get onsite support, and remote support covers the rest of New Zealand. Our aim is fewer manual steps for staff and fewer risks for members.
Common IT problems in this industry
Member data spread around
Exports of the member list end up in spreadsheets, email attachments and mailing tools, each one a copy that is hard to control.
Fake renewal and event invoices
Scammers copy an association's branding to send members fake invoices, damaging trust in genuine communications.
Disconnected systems
Membership, events, email marketing and accounting often do not talk to each other, so staff re-key data and errors creep in.
Board members on personal email
Board papers and confidential decisions sent to personal addresses are hard to secure or recover.
Old website and portal access
Former staff, contractors and web developers often keep admin access to the website and member portal long after they stop working with you.
Busy event periods
Conferences and annual meetings bring heavy registrations, payments and video, and a failure at that point is very visible.
What we set up for you
Protected member database
Access to the database by role, multi-factor sign-in for every staff user and controls on bulk exports, with a record of who downloads lists.
Domain protection
Email authentication on your domain so others cannot easily send as you, plus filtering and guidance for members on recognising genuine invoices.
Cleaner integrations
We review how membership, events, email marketing and accounting connect, and help reduce manual copying where your systems allow it.
Board accounts and papers
Board members receive organisation accounts or secure board portal access, so papers and decisions stay under the association's control.
Access reviews
Regular checks of who has admin access to the website, portal, database and social accounts, with old access removed.
Event readiness
Before major events we check connectivity, video equipment, registration systems and email capacity so the day runs smoothly.

IT strategy & consultingIT for membership & industry associations: questions
How do we keep our member database secure?
Limit access by role, require multi-factor sign-in, restrict and log bulk exports, and review access each quarter. We set those controls up and make sure the database's own security settings match how your team actually works.
Can you stop scammers sending fake invoices to our members?
We can make it much harder by setting up email authentication on your domain so receiving mail servers reject forged messages. We also help you tell members how genuine invoices arrive and how to check them.
Can you connect our membership, events and accounting systems?
We review the systems you have and the connections they support, then recommend practical improvements. Any integration project is scoped and quoted in writing first; some links are built by the software vendors themselves.
Should board members have association email accounts?
Usually yes. Association accounts keep board papers and decisions under your control, can be protected with multi-factor sign-in and are handed over cleanly when a board member's term ends.
Do you support associations outside Auckland and Hamilton?
Yes, through remote support for staff, devices and systems. Onsite work outside those cities, such as an office move or event setup, is arranged and quoted in advance.
Which plan suits an association secretariat?
Most secretariats choose the Managed plan at $119 per user per month plus GST. Associations holding sensitive professional records often choose Complete at $169, which adds onsite support and staff security training.
