IT support for education and not-for-profit organisations
Charities, community groups and education providers need IT that is safe and simple without wasting donor or public money. We help you get the most from the licences and equipment you have.

IT for education & not-for-profit
Not-for-profits and small education providers often run on a mix of donated laptops, free accounts and goodwill. A board member set up the email years ago, volunteers share a login, and nobody is quite sure which licences the organisation is entitled to under nonprofit or education programmes. It keeps going, but it leaves gaps that are hard to see until something is lost. Often it is a departing volunteer's laptop, an old email account nobody can sign in to, or a funder's report that has to be rebuilt from scratch.
These organisations also hold sensitive information: details of children and families, client case notes, donor records and bank details. The Privacy Act 2020 applies regardless of size or charitable status, and funders increasingly ask how information is protected. Registered charities also report to Charities Services each year, so financial records need to be complete and kept safely. Early learning centres and training providers also report to government agencies and must keep learner and enrolment records accurately for set periods.
Office IT supports charities, trusts, community organisations, early learning centres, private training establishments and tutoring providers with three to seventy-five staff. We help you claim the nonprofit and education pricing you are eligible for, set up proper accounts for staff and volunteers, protect personal information and keep spending predictable. We are straightforward about what is worth spending on and what can wait, and we put recommendations in writing so they can go to your board or funders alongside a budget.
Common IT problems in this industry
Tight, accountable budgets
Every dollar spent on IT is a dollar not spent on the mission, and funders want to see that money is used carefully.
Volunteers and shared logins
Volunteers come and go, and shared accounts make it impossible to remove one person's access without disrupting everyone else.
Unclaimed or misused licences
Many organisations pay full price for software that is offered at nonprofit or education rates, or use free consumer accounts that lack security controls.
Sensitive personal information
Records about children, families, clients and donors must be protected under the Privacy Act 2020, often with limited staff time.
Mixed, ageing equipment
Donated and second-hand computers vary widely in age and condition, and some can no longer receive security updates.
Board and governance turnover
When a treasurer or chairperson changes, admin passwords and account ownership are easily lost with them.
What we set up for you
Nonprofit and education licensing
We check your eligibility for Microsoft and Google nonprofit or education offers and move you onto the right licences.
Individual accounts for everyone
Staff and regular volunteers get their own sign-in with multi-factor authentication, sized to what they actually need.
Organisation-owned admin access
Admin accounts, domain names and key subscriptions recorded in the organisation's name, not a past volunteer's personal email.
Protected personal information
Restricted folders for case notes, children's records and donor data, with access reviewed when roles change.
Sensible equipment plans
An assessment of donated and older computers, with a practical replacement plan that fits your budget and funding cycles.
Backups of what matters
Email, files and financial records backed up and checked, so a deleted folder or failed laptop doesn't cost years of records.

IT supportIT for education & not-for-profit: questions
Can you help us get nonprofit pricing for Microsoft 365?
Yes. We check whether your organisation qualifies for Microsoft's nonprofit offers, help with the application and move your accounts onto the right licences. Offers change from time to time, so we confirm current terms before you commit.
How should volunteers access our systems?
Regular volunteers should each have their own account, with access limited to what they do. Occasional volunteers can use time-limited guest access. Shared logins are replaced so one person can be removed without affecting everyone else.
Does the Privacy Act apply to small charities?
Yes. The Privacy Act 2020 applies to organisations of every size, including charities and community groups. We set up the technical protections, such as restricted folders, multi-factor sign-in and backups, and your privacy officer looks after policies.
Can you work with donated computers?
Yes. We assess each device, set up the ones that are still safe to use and recommend retiring any that can no longer receive security updates. We'll be straightforward about what is worth keeping.
What happens when our board or treasurer changes?
Because admin access and key accounts are recorded in the organisation's name, a change of board member is a quick handover rather than a lost password. We keep the documentation up to date for you.
How can a small organisation afford managed IT?
Plans start at $69 per user per month plus GST, and not every volunteer needs to be a covered user. Pay-as-you-go support is also available at $109 an hour remote or $159 an hour onsite plus GST, so you can start small.
