IT support for wholesale and distribution businesses
A distributor makes its margin on accuracy: the right stock, the right price and the right paperwork, every order. We keep the ERP, scanners, warehouse network and trade portals behind that accuracy working properly.

IT for wholesale & distribution
Wholesale runs on thin margins and high volumes. Sales reps quote from the price file, the office keys or imports orders, the warehouse picks against stock levels it hopes are correct, and invoices flow out to trade accounts and retail chains. When the ERP is slow, a label printer stops or an EDI order from a supermarket chain fails to import, the cost lands straight on the bottom line as late deliveries, credits and chargebacks from the very customers you most want to keep.
Many distributors run a mix of systems that grew with the business: an inventory or ERP package, a web ordering portal, spreadsheets for rebates and promotions, and a stack of supplier price lists arriving by email. Each piece usually has a person who understands it, and nobody looking at how the pieces connect. Integrations quietly break after an update, shared logins pile up across the team, and the warehouse Wi-Fi was put in for a few laptops rather than for a dozen handheld scanners moving between racks all shift.
Office IT supports wholesalers and distributors with three to seventy-five staff. In Auckland and Hamilton our technicians come onsite to the office and the warehouse floor; elsewhere in New Zealand we support you remotely and plan site visits for project work by arrangement. We look after the devices, network, accounts and security, keep watch on the links between your ERP, EDI and web store, and work with your software vendors so a fault is traced to its source instead of bouncing between support desks.
Common IT problems in this industry
ERP and inventory accuracy
Stock figures, pricing and customer terms all live in one system. If it is slow, out of date or poorly backed up, every order and every invoice is at risk of being wrong.
EDI with large retail customers
Retail chains send orders and expect advance shipping notices and invoices electronically. A failed connector or expired certificate can mean missed orders and compliance penalties.
Warehouse Wi-Fi black spots
Steel racking and tall stock block wireless signals. Scanners that drop out mid-pick slow the team down and can leave stock movements half recorded.
Trade portals and web ordering
Customers expect to order online with their own pricing. The portal, its stock feed and its payment details need to stay secure and in step with the ERP.
Shared logins on the floor
Warehouse PCs and scanners are often signed in under one generic account, so nobody can tell who adjusted stock or reprinted a consignment.
Supplier price list handling
Price files arrive by email in every format. Manual imports are slow and error prone, and the inbox that receives them is a common target for invoice fraud.
What we set up for you
Reliable ERP access
We make sure the server or cloud ERP has the performance, connections and permissions it needs, and that each staff member signs in with their own account.
Integration monitoring
We keep an eye on the jobs that move orders, stock and invoices between your ERP, EDI provider and web store, so a stalled feed is found before customers notice.
Warehouse wireless survey and fit-out
We survey the racking and install business-grade access points so handheld scanners and label printers hold their connection across the whole floor.
Scanner and label printer support
Handhelds, mobile computers and thermal label printers are set up consistently, kept updated and replaced quickly when one fails during a busy shift.
Accounts receivable protection
Email filtering, multi-factor sign-in and a clear process for checking any change of bank details reduce the chance of paying or being paid into the wrong account.
Backups that cover the ERP
The ERP database, file shares and Microsoft 365 are backed up daily and restore tests are run, because stock and customer history cannot be rebuilt from memory.

Backup & disaster recoveryIT for wholesale & distribution: questions
Can you support our ERP if another company supplied it?
Yes. Your ERP partner remains responsible for the software itself, and we look after everything around it: the server or cloud access, the network, the user accounts, the backups and the devices. When something breaks we work out which side the fault is on and deal with the vendor directly so you are not caught in the middle.
Why do our scanners keep dropping out in the warehouse?
Usually it is coverage and roaming. Racking, metal roofs and dense stock absorb wireless signals, and consumer-grade access points struggle when devices move between them. A site survey shows where the gaps are, and correctly placed business access points with sensible roaming settings normally fix it.
What happens if an EDI order fails to come through?
We set up monitoring on the transfers we can see, such as import folders, connector services and error mailboxes, so a stalled order is spotted early. Where the EDI service is run by a third party, we raise the fault with them and keep you informed until orders are flowing again.
Do you look after warehouses outside Auckland and Hamilton?
Yes, remotely. Most support for scanners, PCs and accounts is done over a remote connection. Installation work such as access points or data cabling at regional sites is planned in advance and carried out on an arranged visit, or by a local electrician or cabler working to our design.
How do we stop fake supplier invoices?
Combine technology with a simple rule. We filter spoofed and lookalike email, protect mailboxes with multi-factor sign-in and flag external senders. Your accounts team then confirms any new or changed bank account by calling a number already on file, never one supplied in the email.
Which plan suits a distributor?
Most choose the Managed plan at $119 per user per month plus GST for office staff, with shared warehouse devices covered as part of the agreement. Businesses that want regular onsite visits in Auckland or Hamilton and staff security training included usually take the Complete plan at $169.
